Instructions for authors for writing and submitting papers for the 5th Eurasphalt & Eurobitume Congress, 13 - 15th June 2012 in Istanbul
LANGUAGE OF PAPER
The paper must be submitted in English.
LENGTH OF THE PAPER
The paper should not be more than 4000 words and not be more than 12 pages (including pictures, tables and graphs).
CONTENTS OF PAPER
The paper should contain:
1. Title (First Page)
2. Author details including organisation and country. (First Page)
3. Abstract (maximum 250 words) (First Page)
4. Maximum 5 keywords (from list and own keywords). The list with suggested keywords can be downloaded by clicking here

5. Introduction
6. Body of the paper, including tables and figures
7. Acknowledgements where appropriate
8. Bibliography & reference(s), where appropriate
*Please do not include first page in your fulltext (.doc) file. First Page will be generated automaticaly and will be added to the PDF of your fulltext.
INSTRUCTIONS
Instructions about the margins, fonts, the layout of the titles, etc. is shown in the example that can be downloaded by clicking here.
To avoid confusion, please use the words bitumen (as the binder) and asphalt (as the mixture) in the ‘European’ context and do not use the word asphalt (for the binder) and hot mix (for the mixture) in the ‘American context.
The paper should not be overtly commercial, in other words the paper should not repeatedly use brand or trade names and should not be solely aimed at product promotion. Claims about product or process performance should be supported by factual and relevant information. No trade names should appear in the title of the paper.

Please note due to an inherent problem in the conversion of docx files to any other file type, we kindly ask you to prepare your files as .doc. In some cases you may need to re-arrange the tables and figures after converting docx to doc format.
The electronic format requires that the papers are submitted according to the template in Microsoft Word. The paper submission module will automatically generate the first page of the document according to the details previously submitted and will contain;
- The paper title
- Author name and affiliation
- Abstract
- Keywords
The paper will be converted by the paper submission module into a PDF format using the typefaces and font sizes specified in the example layout document, therefore authors should ensure that the example paper layout guidelines are followed.
You will be notified of receipt of your paper by e-mail and you can download the system generated PDF file.
PAPER REVIEW
Submitted papers will be reviewed by a Paper Review Committee.
All the papers that are accepted by the Paper Review Committee will be published in the Conference Proceedings.
A Paper Review Committee will review all submissions and nominate papers for presentation during the Congress. Based on the recommendations of the Paper Review Committee papers will be selected for oral presentation. Each paper selected for presentation should be presented by the author (or one of the authors) of that paper.
For each session of the congress moderators will give a general overview of the papers in each session that are not selected for oral presentation.
The acceptance of submitted papers will be announced in February 2012.
COPYRIGHT
Authors assume full responsibility for securing the necessary clearances for distribution from relevant bodies or holders of copyright on material involved in the paper. The act of uploading a paper onto the E&E 2012 website will be taken as certifying that the paper is original and free of copyright.

SUBMITTING ABSTRACTS
All abstracts must be in English. The length of the abstracts should be around 200 words.
REVIEW PROCESS
The abstracts will be reviewed by the Technical Programme Committee and the papers will be reviewed by the Paper Review Committee.
The abstract acceptance criteria are:
- The subject should be innovative
- The subject should support the theme of the congress
- The abstract/paper should not be commercial
- The abstract should demonstrate high calibre information.
The authors are encouraged to relate the technology aspects of their abstract/paper to the socio/ economic benefits for society.
The acceptance criteria for the papers are:
- Technical content (or the technical quality) of the paper:
- Clarity and rigour (the paper should be clear, easy to understand, well structured, based on well-founded arguments)
- The scientific and technical value
- Originality and/or innovative level
If the Paper Review Committee states: “The paper could or might be accepted after modification”, the authors will have the opportunity to modify their paper. After modification the paper will be reviewed again.
Acceptance of the abstract will be announced in April 2011. The acceptance of the paper will be announced in January 2012. The papers will be reviewed by the Paper Review Committee. Authors of accepted papers will be given the opportunity of presenting their paper to the Congress participants either in print (CD-ROM) or in poster session, however we cannot guarantee to authors that their papers will be orally presented.
